New starter onboarding by text message
New starters get a text with a link and do their paperwork on their phone. HR sees who is stuck and the training register fills itself in.

The problem
- New starter paperwork was on paper. Forms were signed in person and HR scanned the cards and documents.
- Licences and tickets then had to be typed into HR's training and competency register, and kept up to date when they expired.
What we built
- Starters get a text with a link. No app to download and no login.
- Eight steps on their phone: details, photo, licences and tickets, uniform, emergency contact, bank and tax file number, an insurer driver declaration, and booking their induction.
- The driver's licence is read from the photo, and card photos are turned the right way up automatically.
- They can stop and finish later. Bank and tax file details are encrypted.
- HR gets a dashboard showing who is up to what and what is missing, with one-click reminders.
- Texts HR can edit, a reminder the day before induction, expiry reminders, alert emails and a daily summary.
- A live view of HR's SharePoint training register. Starters are added to it once they finish, and HR can tick people to chase, terminate or export to Excel.
The outcome
- Built, tested live and hosted in Perth from October 2026.
- Text messages and HR alert emails tested end to end in early October.
- A 51 page user manual written for HR.
- Now in final testing with HR before sign-off.
